IT Services and IT Support for Professional Services Firms in Toronto and the GTA

IT Rapid Support provides IT services and IT support for professional services firms across Toronto and the GTA, delivered from our head office at 7810 Keele St, Vaughan: consulting, engineering, architecture, advisory and other practices that bill for expertise. That means a 24/7 helpdesk and incident line, Microsoft 365 and collaboration that work, protected client data, and secure remote work, on one monthly managed agreement or as one-off work.

See where you stand before you shortlist a provider

Most professional services firms we speak to already sense that something in their setup is weak, but cannot say which thing to fix first. Our IT risk self-check covers fifteen control areas including backups, multi-factor authentication, admin accounts, patching, staff offboarding and email authentication, each weighted, so you finish with a ranked list of what to fix first. It is a printable checklist; nothing is submitted.

Email authentication is the single gap we find most often, and it is the one attackers use to invoice your clients in your name. Our email spoofing check reads your domain's published SPF, DKIM and DMARC records and tells you in seconds whether your domain can be impersonated. In our August 2026 study of 481 GTA business domains, only 20.6% enforced DMARC, and the earlier July 2026 pilot (118 GTA domains) found only 40% fully protected against spoofing.

If you are already holding proposals, run them through our managed IT quote checker, which scores any provider's written quote against 22 items so the omissions show up before you sign. Prefer a person to walk it through with you? book an IT health check or a security assessment and we will look at the results with you, with no obligation either way.

What IT Services a Professional Services Firm Actually Needs

Professional services firms are not usually short of technology; they are short of time to manage it. A typical practice runs Microsoft 365 for mail, files and Teams, laptops for staff who move between the office, home and client sites, and one or two specialist applications: CAD and modelling for engineering and architecture, project accounting or time-and-billing for consulting and advisory, document management for anything contractual.

The IT services that matter most follow from that. A 24/7 helpdesk and incident line, so a fee-earner who cannot open a file is helped remotely instead of waiting for a visit. Proactive monitoring and patching across every device, including the laptops that rarely come into the office. Microsoft 365 administration with a deliberate structure for client files rather than whatever grew organically. Backups of both devices and Microsoft 365 data, tested by restoring. And layered security in the base agreement rather than as an upgrade.

Specialist applications need a named owner. We manage the infrastructure around them, including servers, licensing, updates, backup and access, and work with the software vendor when a fault sits inside the application itself.

If you were looking for IT professional services in the other sense, meaning one-off project work such as a Microsoft 365 migration, a new network or an office move rather than ongoing support for your firm, our guide to what IT professional services are explains how that work is scoped and how it differs from managed IT.

If a payment or mailbox has been compromised, see business email compromise response. When a dispute turns on electronic evidence, see eDiscovery and defensible collection.

05

Client Data, Confidentiality and Security Questionnaires

Firms that work for larger organizations are increasingly asked to prove their security, not just describe it. A client's procurement or risk team sends a questionnaire asking whether MFA is enforced for every user, whether laptops are encrypted, when a backup was last restored, how quickly a departing employee loses access, and what happens if there is an incident. A firm that answers from memory is taking a risk with every answer.

We implement the controls behind those questions and keep a record that they are running, so the questionnaire becomes a matter of reading answers off documentation. The controls that come up most are enforced MFA, device encryption and remote wipe, endpoint detection and response, email authentication with SPF, DKIM and DMARC, monitored and tested backups, audit logging in Microsoft 365, and a written offboarding process. Obligations under PIPEDA and any client contract stay with your firm; our role is the technical controls layer and the evidence for it.

06

Sharing Files Securely with Clients and Partners

Most data leaks at professional firms are not breaches in the dramatic sense. They are a sharing link that was set to anyone with the link, a former contractor who still has access to a Teams channel, or a large file sent through a personal file-transfer account because the firm's system would not take it. Each is easy to prevent once someone owns the configuration.

We set Microsoft 365 up so external sharing works without becoming a risk: client workspaces separated so one client's documents are not visible to another's guests, sharing links that expire, guest accounts reviewed and removed when an engagement ends, and a sanctioned way to send large drawings, models and data sets so staff do not invent their own. The aim is for the secure route to be the easiest one, because staff will use whatever is fastest when a deadline is close.

07

Managed IT or Hourly Support for Smaller Practices

A small practice with a few staff, everything in Microsoft 365 and no server can reasonably buy IT support by the hour. We scope each piece of work in writing and bill it by the hour. A monthly managed agreement makes more sense once the firm depends on its systems every hour of the working day, carries client confidentiality obligations it has to evidence, or has preventive work that nobody is currently doing.

Many of the same patterns apply to neighbouring sectors, covered in more detail on our pages on IT support for law firms, IT support for accounting and CPA firms and IT support for financial services firms. Firms with offices west of Toronto can also see IT support in Mississauga and IT support in Brampton, and onboarding follows the same assess, plan, onboard and operate sequence wherever the office is.
