Microsoft 365 Migration Toronto

Microsoft 365 Migration Services in Toronto and the GTA

Microsoft 365 migration services move your email, calendars, files and user accounts from an old server, Google Workspace or another tenant into Microsoft 365 on a planned cutover, with security set up during the move, and we run them for businesses in Toronto, York Region, Mississauga, Brampton and across the GTA. IT Rapid Support provides Microsoft 365 migration services for Toronto and GTA businesses, with cutovers planned around your office hours and technicians on site from our Vaughan office when the move needs hands on hardware. Moving to the cloud should make your business faster, not break it. We plan and execute Microsoft 365 and Azure migrations end to end: email, files, and applications moved securely with a tested cutover plan, minimal downtime, a 24/7 helpdesk and incident line, so your team keeps working through the transition.

Our Microsoft 365 migration process

Every migration follows the same sequence, because skipping a step is where lost mail and broken sharing come from. First an assessment: every mailbox, shared mailbox, distribution list, file share, calendar and application that touches email is listed, along with who holds the administrator accounts for the domain, DNS and any existing tenant. Then a written plan that sets out what moves, in what order, on which night, and how each step is checked and rolled back if it fails.

Next a pilot with a few users, so problems with phones, shared calendars or line-of-business software show up on five people instead of fifty. Mail and files are then copied in stages while the old system keeps running, so the final cutover only has to move the last few days of changes. On cutover night we switch the MX and related DNS records, confirm mail flow in both directions, and set up SPF, DKIM and DMARC for the new platform. The morning after, a technician is available for the Outlook profiles, phones and Teams sign-ins that always need a hand, and the old system stays intact until you confirm nothing is missing.

Microsoft 365 migrations we run for Toronto businesses

The common projects are moving from Google Workspace to Microsoft 365, moving from an on-premises Exchange server or a hosted mail provider, moving file servers and mapped drives into SharePoint and OneDrive with permissions rebuilt rather than copied blindly, tenant-to-tenant moves after a merger, acquisition or rebrand, and taking a Microsoft 365 tenant bought through a reseller onto licensing the business controls directly. Azure work usually means moving a server application or file server that cannot simply become SharePoint. Many of these projects are now being driven by Windows Server 2016, which gets its final security update on January 12, 2027; our Windows Server 2016 end of support guide sets out the upgrade, Azure and Extended Security Update options server by server.

Security is set during the migration rather than afterwards: multi-factor authentication, conditional access, removal of legacy sign-in methods, administrator accounts separated from daily-use accounts, and backup of Microsoft 365 mail and files. Our Microsoft 365 security check shows what we look at in an existing tenant, and if you want us to run the environment after go-live, that is our Microsoft 365 managed services.

03

Cutover timing for Toronto offices

Toronto offices rarely get to stop work for a migration, so cutovers are scheduled for evenings or weekends and the plan is built around when your staff actually start, including early shifts and people working from home. Downtown buildings often need after-hours access booked through property management if a server or network change is involved, and that is planned into the date rather than discovered on the night.

Businesses with offices in more than one part of the city, or elsewhere in the GTA, are migrated as one project with one cutover plan. The wider support picture is on our IT support in Toronto page, and our Microsoft 365 vs Google Workspace study shows which platforms GTA businesses actually run today.

04

Microsoft 365 migration in York Region and Vaughan

Our office is at 7810 Keele St in Vaughan, so York Region migrations are the ones closest to home. The usual projects are the same as anywhere in the GTA: an on-premises Exchange or file server that is out of support, a Google Workspace account the business has outgrown, or a tenant set up years ago by a previous provider that nobody fully controls. In Vaughan, Concord, Woodbridge, Richmond Hill, Markham and Newmarket the mix leans toward manufacturing, distribution and professional offices, where shared mailboxes, scan-to-email copiers and line-of-business software that sends mail are as important as the user mailboxes.

Each of those is listed in the assessment and tested in the pilot, so the copier and the accounting package still send mail the morning after cutover. The wider service for the region is on our IT support in York Region and IT support in Vaughan pages.

05

Microsoft 365 migration in Mississauga and Brampton

Mississauga and Brampton businesses run the same migration process, planned around how the business actually works. Head offices near Pearson and in the Meadowvale and Airport Corporate Centre areas often have more than one site and staff on shifts, so cutovers are scheduled around the earliest shift rather than a nine-to-five day. Brampton logistics, manufacturing and trades businesses tend to have shared devices and warehouse accounts that need licensing decided deliberately, because giving every shared device a full licence is one of the common ways tenants end up paying for more than they use.

Licences are reviewed as part of the assessment, and Microsoft licensing is billed separately from the migration work. Ongoing support after go-live is described on our IT support in Mississauga and IT support in Brampton pages.

Before a migration, a Microsoft 365 security assessment shows what to fix first. If an account has already been taken over, see Microsoft 365 account compromise investigation.

06

Azure migration services for Canadian businesses

Not every server should move to Azure. The assessment sorts each workload into one of three answers: replace it with a Microsoft 365 service (file shares into SharePoint and OneDrive, on-premises Exchange into Exchange Online), move it to an Azure virtual machine or service because it still needs a server, or keep it on site because it runs better or cheaper there. Line-of-business applications are checked with their vendor before anything moves, and the running cost in Azure is estimated before the decision rather than discovered on the first invoice.

Azure has two Canadian regions, Canada Central in Toronto and Canada East in Quebec City, so resources we deploy for Canadian clients can be kept in Canada where privacy obligations or client contracts call for it. If your server is approaching end of support, our Windows Server 2016 end-of-support guide explains the options in more detail.

07

Microsoft 365 migration services near you: what is remote and what is on site

Most of a migration is remote work: the assessment of the old system, the tenant setup, the security configuration and the staged copying of mail and files all happen without anyone in your office. On-site time is spent where it pays off: cutover morning, when Outlook profiles, phones, shared calendars, printers and scanners need to work for everyone at once, and any office with a server or network equipment that has to be changed by hand. Those visits are dispatched from our Vaughan office across the GTA.

Larger migrations are priced after the assessment, with the scope agreed in writing. Smaller jobs, such as fixing a migration someone else started, are billed by the hour. After go-live our Microsoft 365 managed services take over administration, or the tenant can be included in one of our managed IT plans.

Check your gaps before you buy

Start with evidence rather than a sales conversation. Our IT risk self-check covers fifteen control areas and ranks your gaps by weight, so you can see which gap to fix first. There is no sign-up: it is a printable checklist.

If email is anywhere in scope, run the email spoofing check against your domain first. It reads your published SPF, DKIM and DMARC records and tells you whether your domain can be spoofed to your own clients. In our August 2026 study of 481 GTA business domains, only 20.6% enforced DMARC, and the earlier July 2026 pilot (118 GTA domains) found only 40% fully protected against spoofing. The follow-up work is published as our GTA small-business cybersecurity report and a scan of what 470 GTA business websites disclose about their own security.

Comparing us against another provider is fair and we would rather you did it properly. Our managed IT quote checker scores any written proposal against 22 items, and an IT Health Check gets you a written summary of what we find, whoever you end up choosing.

Microsoft 365 & Azure migration FAQs

It depends on the number of mailboxes, the volume of data, and your current platform, but most small and mid-sized business migrations are completed in a planned, staged cutover that minimizes downtime. We assess your environment first and give you a clear timeline before any data moves.

Plans, onboarding and compliance

Onboarding steps, what a managed agreement covers and the privacy frameworks we help with are set out once on our managed IT plans page. Work outside an agreement is scoped and quoted in writing first.
