What Richmond Hill offices get from one IT provider

In short: IT services in Richmond Hill from one team. Managed IT services Richmond Hill offices use day to day, and IT consulting Richmond Hill firms bring in for one-off projects.

We look after the IT for Richmond Hill offices, clinics and light-industrial firms from our office at 7810 Keele Street in Vaughan. Richmond Hill starts at Bathurst Street, which is also the Vaughan city limit, so you are our next-door municipality.

A managed agreement covers the helpdesk your staff call or email, monitoring and patching of servers, laptops and network gear, Microsoft 365 administration, backups we restore-test, and security on every device we manage. One team does all of it, so nobody relays messages between an IT vendor and a security vendor while your office is down.

If something serious happens outside business hours, the 24/7 incident line is (289) 582-9930. Day-to-day questions go to a helpdesk staffed 24/7, and most password, Outlook, Teams and printer problems are fixed remotely on the first contact.

Our office at 7810 Keele St in Concord, Vaughan is about 15 km by road from central Richmond Hill. Most helpdesk work is done remotely; hardware, cabling and firewall work is booked on site.

  • Managed IT for a monthly fee, scoped to your users and devices (how plans work)
  • Hourly work and projects for firms that only need help now and then
  • Co-managed IT if you already have an internal IT person (co-managed IT)
  • $2M cyber liability insurance, in business since 2018

Richmond Hill business areas and what changes the IT advice

East Beaver Creek, around Leslie Street and Highway 7, is the commercial centre: office parks from the 1990s onward, next to Highway 404 and City Hall. Tenants are mostly legal, accounting, financial, software and distribution firms in multi-tenant buildings.

The questions there are about hybrid work. Staff split the week between home and the office, the building supplies the internet and you cannot escalate a fault with it, and the meeting rooms need to work without a champion.

We plan a second internet connection, keep your firewall and Wi-Fi under our own management, and set up conditional access so a laptop at home gets the same protection as one at the desk.

Headford Business Park (Major Mackenzie, Leslie, Highway 404 and 16th Avenue) and the Elgin Mills business park to the north carry more trades, distribution and light industrial work. There the network has to reach a storage area or shop floor, scanners and label printers sit on their own segment, and the inventory or ERP system cannot go down during a shift.

The Yonge Street spine, from the historic downtown near Major Mackenzie up through Oak Ridges and Lake Wilcox, is dense with medical and dental clinics, law and accounting practices and realtors.

For clinics, the bar is set by Ontario's Personal Health Information Protection Act: access controls, encrypted devices and backups that someone has actually restored. The Highway 7 retail strip between Bayview and Leslie needs payment terminals kept off the staff and guest networks.

Who we usually work with here

Most Richmond Hill clients have between five and fifty staff and nobody whose full-time job is IT. Typical examples: an accounting practice that needs file access locked down before tax season, a dental office that wants patching done outside appointment hours, a distributor whose warehouse Wi-Fi drops at the far racking, and a real estate brokerage worried about wire fraud on closing funds.

Sector pages set out the specific controls: legal, accounting, dental, healthcare, real estate and manufacturing.

04

Email fraud is the first thing we check

The attacks that reach Richmond Hill firms are rarely exotic. They are phishing emails that steal a Microsoft 365 password, and invoices sent from a domain that looks like yours.

In our August 2026 study of 481 GTA business domains, only 20.6% enforced DMARC, and the earlier July 2026 pilot (118 GTA domains) found only 40% fully protected against spoofing. You can test your own domain in a minute with our email spoof check.

Our first-week checks for a new client are the same three every time: multi-factor authentication enforced on every Microsoft 365 account (Microsoft's security defaults are the minimum), SPF, DKIM and DMARC on the email domain, and a backup restore that has been tested and dated. The Canadian Centre for Cyber Security's baseline controls for small and medium organizations is the checklist we work from after that.

Published work you can check

We publish case studies from real engagements. Three show the range a York Region business can expect from one team:

Changing IT providers without losing a week

Most businesses that call us already have a provider and have decided something has to change. The triggers repeat: the same faults coming back, security questions that get deflected, and an invoice with lines nobody can explain.

Switching is mostly about getting control of the things the old provider holds. We run it in a fixed order so nothing is lost in the handover.

  1. Inventory

We list every account, device, licence, domain and admin credential, and who holds each one today.

  2. Take over admin access

Global admin, registrar, firewall and backup console logins move to accounts you own, with MFA on each. The old provider's access is removed last, not first.

  3. Close the obvious gaps

MFA, email authentication and a tested restore come first, because they are cheap and they block the common attacks.

  4. Document and hand back

You get a written record of the network, the accounts and the backup design, so you are never locked in to us either.

07

What we can do in person

Hardware, cabling, firewall and server faults need someone on site, and those visits are booked from our Keele Street office. Remote work starts while the visit is being arranged. We do not publish a guaranteed arrival time; before you sign we explain how visits are scheduled and what happens after hours.

Neighbouring offices are covered by the same team: Vaughan to the west, Markham across Highway 404, Aurora and Newmarket to the north, and North York down Yonge. Thornhill straddles Vaughan and Markham; our Thornhill guide covers both sides. Firms with several York Region sites can read how one agreement covers them on our York Region page.

Not sure what to fix first? The IT risk self-check walks you through your setup in a few minutes, on screen or on paper.

Choosing between IT companies in Richmond Hill: managed provider, IT consulting or break-fix

Searching for an IT company in Richmond Hill turns up three different kinds of business under the same label, and it helps to know which one you need before comparing quotes.

A break-fix shop repairs what is broken and bills by the hour. It suits a very small office with simple needs. A consultancy runs projects, such as an assessment, a migration or a new office, and then leaves. A managed provider takes ongoing responsibility for support, patching, backups and security under a monthly agreement.

We do the second and third. Some Richmond Hill clients start with a project and stay on a managed agreement; others keep an internal IT person and use us for security and projects through co-managed IT.

09

How a project engagement runs

Typical projects here are Microsoft 365 migrations and clean-ups, a move from an old file server to SharePoint, Intune rollout for laptops, and a written IT plan through our vCIO service.

  1. Assessment

We document what you have: accounts, devices, network, backups, licences and who holds which admin login. You get the findings in writing, ranked by risk.

  2. Scope and quote

The project is written up with what is included, what is not, and the order of work, so you can compare it with any other proposal.

  3. Change window

Disruptive work, such as a mail migration or a firewall swap, is scheduled outside your working hours, with a rollback plan written before it starts.

  4. Handover

You receive the documentation: what was changed, where the admin accounts live, and how the new setup is backed up.

10

Networks, cloud and managed email

In the East Beaver Creek office parks, many networks were installed by a previous tenant and never redesigned. We replace consumer routers with a managed firewall, separate staff, guest, phone and camera traffic, and design Wi-Fi for the real floor plan rather than a single access point in the server closet.

Email is where most attacks start, so it gets the most attention: MFA on every mailbox, legacy sign-in blocked, external-sender warnings, and SPF, DKIM and DMARC moved to enforcement. The Mississauga development company case study shows that move from monitor-only DMARC to enforcement in practice.

11

Questions Richmond Hill owners ask

No. A per-user figure quoted before anyone has looked at your setup is a guess. The quote is built from the number of users and devices, the servers and sites, and the security tier you need, and our IT quote checker shows how to compare one proposal against another.
