Co-Managed IT Services in Toronto, Vaughan and the GTA

Co-managed IT services are an arrangement in which an outside IT provider works alongside your in-house IT staff, taking on agreed responsibilities such as after-hours support, security tooling and patching, while your own team keeps control of the systems and priorities it knows best. IT Rapid Support is a co-managed IT provider for businesses in Toronto, Vaughan and across the GTA, working from our office at 7810 Keele St with a 24/7 helpdesk and incident line, monitoring and patching, cybersecurity, Microsoft 365 and cloud support, project capacity and local on-site service.

01

What a co-managed IT provider does vs your in-house IT team

In a working week, the difference looks like this. Our monitoring watches servers, devices and backups, and the 24/7 incident line takes emergency calls; patch cycles are scheduled, tested and reported; security alerts are triaged before anyone in the office logs on. Your in-house IT person starts the day with a list of what happened, instead of an inbox of problems nobody saw.

During the day your team runs the business-specific work: new starters and leavers, the line-of-business applications, vendor relationships, budget and the projects they want to own. When something needs more depth than one or two people have, such as a firewall rebuild, a Microsoft 365 licensing or security problem, or a server that will not come back, they escalate to our senior engineers rather than working it out alone.

02

Co-Managed IT security: who owns each control

Co-managed IT security fails when both teams assume the other one is watching. We avoid that by naming an owner for each control: multi-factor authentication and conditional access, endpoint detection and response, patching, email filtering with SPF, DKIM and DMARC, backups and restore tests, firewall rules and remote access. For most clients we run the tools and the routine checks, and your team approves the changes that affect users.

The agreement also says what happens during an incident: who responds to an alert at 3 a.m., who may isolate a laptop or disable an account without asking first, and who calls the insurer. Businesses that need detection add managed threat detection and response, and the same runbook covers both teams.

03

24/7 co-managed IT Support and after-hours coverage

A one- or two-person IT team cannot answer the phone, take holidays and be off sick without leaving a gap. In a co-managed agreement our helpdesk covers the weeks your staff are away, the 24/7 incident line covers emergencies, working from the same documentation and ticket history, so a user calling at 7 a.m. on a Sunday gets an answer consistent with what your team would give.

After-hours work follows a runbook your team approves in advance. Routine fixes are done and reported; anything that needs a business decision, such as restoring a production system or taking a server offline, goes to your named on-call contact first. When the fault is physical, a technician can be dispatched from our office in Vaughan.

04

How to choose a co-managed IT provider

The questions that matter are practical. Will the provider write down who owns each responsibility before work starts? Can your staff see the tickets, alerts and patch reports for the areas the provider handles? Do administrator accounts for your Microsoft 365 tenant, domain and firewall stay in your company's name? Is the after-hours helpdesk actually staffed, and can someone come on site in the GTA when hardware fails?

Ask too what happens if you end the arrangement: you should get the documentation, passwords and configuration notes back in a usable form. If you are still deciding whether to share the work or hand it over completely, our comparison of co-managed and fully managed IT sets out when each model fits.

05

What your IT team keeps and what we take on

Co-managed IT works when the split follows what each side is best placed to do. Your internal people keep the work that depends on being inside the business: the relationships with staff and managers, the line-of-business applications only your company runs, priorities and budget, and the project work they want to own. They are the ones who know why the warehouse scanner is configured the way it is, and that knowledge should not be outsourced. If you would rather hand over the whole function, our IT outsourcing services page covers full outsourcing.

We take the work that does not fit one or two people. Our Co-Managed IT plan covers help desk overflow and after-hours coverage, patch management and update monitoring, managed endpoint protection (EDR), Microsoft 365 and cloud administration support, backup monitoring and restore testing, and an escalation path to senior engineers. Those are the jobs that are either constant, such as patching, or that need cover at hours and depth an internal person cannot sustain, such as a security alert at 2 am or a Microsoft 365 problem beyond day-to-day administration.

06

Typical co-managed IT split models

Help desk overflow and after-hours is the most common starting point. Your IT person handles calls during the working day and we take the overflow when they are busy, plus vacations and sick days, working from the same documentation so users get a consistent answer.

Infrastructure and security is the second model. Your team owns users, applications and projects, and we run the background work: patching, endpoint protection, backup monitoring and restore tests, and the security tooling that is uneconomical for a small team to buy and watch. Businesses that need threat detection and response add it through our managed security services, which is how co-managed IT security usually works in practice.

Project capacity is the third. Your team stays on operations while we deliver a defined project, such as a Microsoft 365 migration, a firewall replacement or a new office build-out, then hand back documented systems. Many clients combine models, and the split is expected to change as your team grows or shrinks.

07

Tooling, access and documentation

Co-managed IT fails quietly when the two teams work from different information, so access and documentation are set up before anything else. We deploy our monitoring and management agent to the devices in scope, agree where tickets live so your staff can see what we are working on, and give each technician a named administrator account with multi-factor authentication rather than a shared login.

Ownership stays with you. Administrator accounts for your Microsoft 365 tenant, domain registration and firewall remain in your company's name, our access is limited to what the agreed scope needs, and changes are recorded where your team can read them. Network diagrams, passwords and configuration notes live in a shared documentation system, so if either side is unavailable the other can still work.

08

Escalation: who does what when something breaks

Every co-managed agreement includes a written escalation path. It says which problems we fix on our own, which we fix and report, and which need a decision from your named contact before we act, for example restoring a production server, isolating a device for a suspected compromise or taking a system offline during business hours.

Outside working hours our help desk takes the call, follows the runbook you have approved and contacts your on-call person when a decision is theirs to make. During the day, your IT staff can escalate to our senior engineers for problems that need specialist depth, and when the fault is physical we can send a technician on site from our office at 7810 Keele St in Vaughan.

09

Onboarding a co-managed partnership

Onboarding starts with a discovery session with your IT staff: what they want to keep, where they are stretched, which systems are fragile and what has gone wrong recently. From that we draft the responsibility matrix and escalation path for both teams to agree before anything is switched on.

Then comes the practical work: agents deployed, access set up, documentation reviewed and gaps filled, backups checked with a test restore, and the after-hours runbook tested with a real call. We hold a review with your team once the first few weeks of tickets are in, adjust the split where it is not working, and after that review it on a regular schedule.

Co-Managed IT services in Toronto, Vaughan and the GTA

Our office is at 7810 Keele St in Vaughan, so co-managed clients in Vaughan, Concord, Woodbridge and Maple are local, and the same team supports internal IT departments across Toronto, York Region, Peel and Halton. Vaughan firms considering a full agreement rather than a shared one can compare it on our page for managed IT services in Vaughan, and Markham's technology and professional firms, where co-managed arrangements are common, have their own page for managed IT services in Markham.

If you are not sure which model fits, our guide to co-managed vs fully managed IT compares the two, including when a business with one IT person should keep them and add support rather than replace them. The Co-Managed IT plan sits alongside Fully Managed IT and Managed IT + Security on our managed IT plans page.

11

Check your gaps before you buy

Start with evidence rather than a sales conversation. Our IT risk self-check covers fifteen control areas and ranks your gaps by weight, so you can see which gap to fix first. There is no sign-up: it is a printable checklist.

If email is anywhere in scope, run the email spoofing check against your domain first. It reads your published SPF, DKIM and DMARC records and tells you whether your domain can be spoofed to your own clients. In our August 2026 study of 481 GTA business domains, only 20.6% enforced DMARC, and the earlier July 2026 pilot (118 GTA domains) found only 40% fully protected against spoofing. The follow-up work is published as our GTA small-business cybersecurity report and a scan of what 470 GTA business websites disclose about their own security.

Comparing us against another provider is fair and we would rather you did it properly. Our managed IT quote checker scores any written proposal against 22 items, and an IT Health Check gets you a written summary of what we find, whoever you end up choosing.

Co-Managed IT services FAQs

A co-managed IT provider takes the responsibilities your in-house IT team agrees to hand over and runs them alongside that team. With IT Rapid Support that usually means after-hours and overflow helpdesk, monitoring and patching, endpoint protection, backup monitoring and restore tests, Microsoft 365 support, escalation to senior engineers and on-site help across the GTA, all recorded in a written responsibility matrix.
